Send Scheduled Reports as Attachments
- On the General Setup administration page, select these options for your instance:
- Enable attachments with scheduled notifications
- (Optional)Require password protection on attached files. If you select this option, then you must specify a password and share with end users receiving the attachments.
- Security:
- Create Report Schedulespermission.
- Send Attachments in Notificationspermission.
- (Optional)Manage all Report Schedulespermission.
- Download to Excelpermission. Both schedulers and recipients need this permission.
- Verify that email IDs exist for the notification recipients.
You can schedule matrix and model reports as Excel attachments in email notifications. Recipients can then download the attached report from their email notifications. Optionally, you can enforce password protection on the schedule. Users then need to enter that password to download the attachment. If you enforce password protection at the instance level, then the
Password Protect
field displays as required. In case you enforce password protection later, then all prior schedules that you created without a password, fail. You then need to update your schedules.- SelectReportsfrom the main menu.
- From theSharedfolders, click theActions menu(3 vertical dots) for a matrix or model report and selectCreate Schedule.
- Specify the schedule details such as name, cadence, and time. Select an end date to expire your schedule.
- ForAction, selectSend Report as Attachmentand clickNext.
- Specify the attachment details and save. As you complete the task, consider:
Option Description ToSpecify the recipients (users, groups, or levels) for the scheduled report notification.MessageOptionally, specify a message for the recipients.Password ProtectSince users can download the Excel report, you can optionally specify a password for the attachment. If you enforce password protection at the instance level, then you must specify a password. Use a separate channel such as email to share this password with the recipients.Default OutputAs a default, the output is Excel for all scheduled notifications with attachments.If you have a template attached to the report, then you can selectTemplateas the default output.ConfirmationConfirm that you're authorizing the specified recipients to view the report data based on scheduler access.Report URLSelect the option to include the link to the live report in the scheduled notification.
