Steps: Set Up Receipt Scanning for Expenses
Set up expense items and expense reports.
You must subscribe to Innovation Services to use this feature. Contact your Customer Success Manager to request the Innovation Services Addendum (ISA), or see Workday Innovation Services in the Workday Community for more information.
You can enable workers to scan receipts through the Workday mobile app and
automatically create quick expenses to include on their expense reports.
- Configure theSelf-Service: Receipt Scanningdomain in the Expenses functional area.
- Access theInnovation Services Opt-Intask.On theAvailable Servicestab in theFinancialscategory, select theReceipt Scanning for Expensesservice.Security:Manage: Innovation Servicesdomain in the Innovation Services functional area.
- (Optional) Access theMaintain Innovation Services Data Selection Opt-Intask.On theFinancials: Receipt Scanning for Expensesservice, select the opt-in check boxes for the categories for which you want to contribute data. You must opt in to at least 1 category to enable the service.Security:Manage: Innovation Servicesdomain in the Innovation Services functional area.
In the Workday mobile app, you can scan receipts in:
- PDF, JPG, TIFF, and PNG file formats.
- Several languages without restrictions for countries or locales. Example: French in France and Canada.
Workday scans the receipt and creates a quick expense with details such as:
- Amount
- Currency
- Date
- Merchant
Access the
Innovation Services
Summary
report (secured to the Manage: Innovation Services
and
View: Innovation Services
domains) to view service opt-in status and
last-modified information, and to access the service descriptions on Workday
Community.
