Example: Create and Distribute a Journey

This example illustrates how you can use the
Journeys Workspace
to:
  • Create, manage, and distribute journeys.
  • View journey metrics.
  • View metrics for individual journeys and specific steps for detailed analysis.
Set up
Security: Set Up: Journey Administration
domain in the Journeys functional area.
The Journeys administrator sends out a journey to a first-time manager that provides them with a consolidated list of helpful content they can access from their Workday home page.
  1. Access the
    Journeys Workspace
    from the global search box.
    The
    Journeys Workspace
    report is part of
    People Experience Workspace
    . You can see the Headline Metrics at the top of the page that includes:
    • Distributed Journeys
    • Journeys Marked Complete
    • Average Days to Complete
    • Users with Journeys in Progress
  2. Access the
    All Journeys
    grid to select a
    Journey  Name
    ,
    Journey Category
    ,
    Last Modified
    ,
    Last Modified By
    ,
    Status
    , and
    Last Distributed
    fields.
  3. Select a row to
    Edit
    ,
    Preview
    ,
    Distribute
    , view
    Metrics
    and
    View
    the journey.
    Click the
    Resources
    button on the top right of the page to view the
    Journey Templates
    ,
    What's New in Journeys
    ,
    Journeys Admin Guide
    , and
    Brainstorm on Community
    pages.
  4. Click
    Create Journey
    to access a blank journey or browse templates to guide you to create a journey for the first-time manager.
  5. Select a
    Journey Name
    ,
    Journey Description
    , and
    Journey Category
    for your recipient.
    For your recipient, the
    Journey Name
    and the
    Journey Category
    can be
    Transition to Manager
    .
    Journey Description
    isn’t displayed to the users.
  6. Click
    Journey Category
    to select an existing category or create a new category.
  7. Click
    Journey Category Name
    ,
    Journey Category Description
    ,
    Recipient Type
    , and
    Functional Area
    .
    For your recipient, the
    Journey Category Name
    is
    Transition to Manager
    .
  8. (Optional) Select a
    Functional Area
    from the drop-down menu to add a relevant functional area, and click
    Create
    .
    You can use the functional area to organize your journey. You don't have to set up security permissions.
  9. In the journeys editor, add
    Step Groups
    into the journey.
    You can customize to add a welcome message for the recipient.
  10. Add
    Steps
    into the step groups and configure them in the
    Edit Step
    section.
    The
    Step Group Name
    can be
    Getting Started
    for the recipient.
    Steps include:
    • Article
      ,
      Document
      ,
      Learning
      ,
      Link
      ,
      Task
      ,
      To Do
      , and
      Video
      .
    • Required and Recommended steps such as
      My Org Chart
      ,
      My Goals
      , and
      Change My Business Goals
      .
  11. Create or add
    Condition Rules
    to your step groups and individual steps.
  12. Click
    Check for Errors
    on the editor tab to ensure that you’ve completed all the required fields.
    This allows you to validate your journey configuration before you distribute it to the recipient.
  13. Click
    Preview
    to check that the
    Transition to Manager
    journey works for your recipient.
    This displays the journey category name, welcome message, journey step group name and description, required steps, and recommended steps.
  14. Click
    Distribute
    .
You can distribute the journey to the recipient by selecting
Transition to Manager
from the
Journey Category
drop-down menu.
You can distribute journeys to recipients in multiple ways through:
  • Selecting
    Distribute
    in
    Journeys Workspace
    so that Workday distributes journeys to a maximum of 100 recipients. You must configure the 
    Journey Distribution Business Process
    and the business process security policy.
  • Mass Operations Management
    (MOM) to 50,000 recipients using a standard or a custom report.
  • Configuring a business process Service step and specifying a
    Journey Distribution Service
    using a journeys-enabled business process.
The journey will display in your recipient's
Awaiting Your Action
section on their home page.
