Example: Create and Distribute a Journey
This example illustrates how you can use the
Journeys Workspace
to:
- Create, manage, and distribute journeys.
- View journey metrics.
- View metrics for individual journeys and specific steps for detailed analysis.
Set up
Security: Set Up: Journey Administration
domain in the Journeys functional area.The Journeys administrator sends out a journey to a first-time manager that provides them with a consolidated list of helpful content they can access from their Workday home page.
- Access theJourneys Workspacefrom the global search box.TheJourneys Workspacereport is part ofPeople Experience Workspace. You can see the Headline Metrics at the top of the page that includes:
- Distributed Journeys
- Journeys Marked Complete
- Average Days to Complete
- Users with Journeys in Progress
- Access theAll Journeysgrid to select aJourney Name,Journey Category,Last Modified,Last Modified By,Status, andLast Distributedfields.
- Select a row toEdit,Preview,Distribute, viewMetricsandViewthe journey.Click theResourcesbutton on the top right of the page to view theJourney Templates,What's New in Journeys,Journeys Admin Guide, andBrainstorm on Communitypages.
- ClickCreate Journeyto access a blank journey or browse templates to guide you to create a journey for the first-time manager.
- Select aJourney Name,Journey Description, andJourney Categoryfor your recipient.For your recipient, theJourney Nameand theJourney Categorycan beTransition to Manager.Journey Descriptionisn’t displayed to the users.
- ClickJourney Categoryto select an existing category or create a new category.
- ClickJourney Category Name,Journey Category Description,Recipient Type, andFunctional Area.For your recipient, theJourney Category NameisTransition to Manager.
- (Optional) Select aFunctional Areafrom the drop-down menu to add a relevant functional area, and clickCreate.You can use the functional area to organize your journey. You don't have to set up security permissions.
- In the journeys editor, addStep Groupsinto the journey.You can customize to add a welcome message for the recipient.
- AddStepsinto the step groups and configure them in theEdit Stepsection.TheStep Group Namecan beGetting Startedfor the recipient.Steps include:
- Article,Document,Learning,Link,Task,To Do, andVideo.
- Required and Recommended steps such asMy Org Chart,My Goals, andChange My Business Goals.
- Create or addCondition Rulesto your step groups and individual steps.
- ClickCheck for Errorson the editor tab to ensure that you’ve completed all the required fields.This allows you to validate your journey configuration before you distribute it to the recipient.
- ClickPreviewto check that theTransition to Managerjourney works for your recipient.This displays the journey category name, welcome message, journey step group name and description, required steps, and recommended steps.
- ClickDistribute.
You can distribute the journey to the recipient by selecting
Transition to Manager
from the Journey Category
drop-down menu. You can distribute journeys to recipients in multiple ways through:
- SelectingDistributeinJourneys Workspaceso that Workday distributes journeys to a maximum of 100 recipients. You must configure theJourney Distribution Business Processand the business process security policy.
- Mass Operations Management(MOM) to 50,000 recipients using a standard or a custom report.
- Configuring a business process Service step and specifying aJourney Distribution Serviceusing a journeys-enabled business process.
The journey will display in your recipient's
Awaiting Your Action
section on their home page.
