Concept: Student Holds

Concept: Student Holds

You can use student holds to block processes within Workday, such as registering for classes or receiving financial aid. Workday doesn't package or disburse financial aid when a student has an outstanding hold.
Students can see hold reasons explaining why they received a hold and how they can resolve it. Once you remove the hold, the student can proceed with the blocked process.

Apply Student Holds

You can apply student holds:
  • By scheduling or running the
    Mass Operation Management
    task, using the
    Mass Operation Type
    of
    Apply Student Hold
    .
  • Automatically through the
    Apply Student Hold
service step in certain business processes.
  • Automatically through the
Configure Past Due Balance Hold Assignments
    task, secured to the
    Set Up: Student Collections
domain in the Student Financials functional area.
  • Manually using the
    Apply Student Hold
    task, secured to the
    Apply Student Hold Event
    .

Student Hold Reasons

Hold reasons provide a justification for a hold you apply to students. You can configure student hold reasons using the
Create Student Hold Reason
task, secured to the
Set Up: Hold Reasons
domain in the Action Items and Holds functional area. Select the type of process that you want to block using the
Applies to Hold Types
prompt.

Student Hold Contexts

You can specify context when applying a student hold to determine how staff members can apply a hold. Types of hold contexts can include:
Hold Context
Description
Applies to All
Applies the hold to the student across all institutions and all records.
You can hide this option using the
Edit Tenant Setup - Student
task if you don’t want to enable holds to apply across your entire tenant.
Select an Institution
Applies the hold to the student at a specific institution.
Select an Academic Record
Applies the hold to the student on a specific active academic record.
Select a Federal School Code
Applies the hold based on the federal school code associated with the financial status of the student.
Award Year
Applies the hold to a specified financial aid award year.
Academic Period
Applies the hold to a specified academic period.
When students don't resolve their holds, they can't register for courses beyond the academic period in which they receive a hold. You can still help them register for courses. See Concept: Registration Restriction Overrides.
Award Item
Applies the hold to a specified award item so that the remainder of the financial aid package can disburse.

Apply Student Hold Service

You can configure business processes to apply student holds automatically by adding the
Apply Student Hold
service step to these business processes:
  • Continuing Student Onboarding
  • Deceased Student Event
  • Student Charges Writeoff Event
  • Student Distribution Event
  • Student Onboarding Event
  • Non-ISIR Ad-Hoc Action Items Event
This step stops a process for students until the business process reaches the corresponding
Remove Student Hold
step in the process.

Remove Student Holds

You can remove a hold when students meet the conditions for resolving the hold. You can remove student holds:
  • By running or scheduling the
    Mass Operation Management
    task, using the
    Mass Operation Type
    of
    Remove Student Hold
    .
  • Automatically through the
    Remove Student Hold
    step on these business processes:
    • Continuing Student Onboarding
    • Student Distribution Event
    • Student Onboarding Event
    • Non-ISIR Ad-Hoc Action Items Event
  • Automatically through the
    Remove Student Hold Reason
    step on the
    Change Program of Study Event
    business process.
  • By configuring the
    Remove Student Holds
    step on the
    Request Student Appointment Event
    business process.
  • Manually from the Action Items and Holds profile group of a student's profile.

Setup Student Hold Service

We plan to begin the retirement process for this service in March 2025. We recommend that you use the Apply Student Hold service for more flexibility in applying student holds.
You can also configure certain Financial Aid business processes to hold up packaging or disbursement. You can add the
Setup Student Hold
service step to business processes like
Federal Verification Event
or
Professional Judgment Event
. This step stops the hold process until the business process completes without the need for a
Remove Hold
service step.
