Steps: Configure Opt-Out of Financial Aid Electronic Communications

Workday enables you to opt out from receiving financial aid electronic communications on behalf of students.
Unless you configure opting out, students in Workday automatically receive financial aid communications electronically when they enroll. Federal regulations state that a student must explicitly indicate their preference if they no longer want to receive these types of communications electronically.
  1. Configure security for the
    Manage: Student Financial Aid Electronic Communications Preferences
     domain in the Financial Aid functional area.
  3. (Optional) Access the
    Edit Custom Report
     task.
    You can edit custom reports for the student audience you use for engagement plans. Add the
    Opted Out of Financial Aid Electronic Communications
     report field as a filter for the student audience. The filter enables you to view the students who haven't opted out of financial aid electronic communications.
    Security:
    Manage: All Custom Reports
     domain in the System functional area.
  4. (Optional) Access the
    Create Student Condition Rule
     task.
    Create a condition rule that prevents students who have opted out from receiving communications. Select
    Student
     from the
    Business Object
     prompt. Then add the condition rule to the engagement item.
    Security:
    Set Up: Student Eligibility Rules
     domain in the Academic Advising functional area.
  5. Access the
    Create Calculated Field
     task.
    Create a calculated field to block financial aid communications from business process notifications. You can use this calculated field as a condition rule on your Financial Aid business processes.

  6. (Optional) Configure the
    Student Onboarding Event
     and security policy on the Student Records functional area.
    See Edit Business Processes.
  7. (Optional) Add the
    Review Documents
     step to the
    Student Onboarding Event
     or
    Continuing Student Registration Onboarding
     business process to enable students to review their consent through a document.
  8. Create a financial aid opt-out request that students can initiate. You can add a questionnaire and ask them to upload documents.
The Financial Aid administrator can:
  • Access the
    Update Student Financial Aid Electronic Communications Preferences
     task from the
    Financial Aid
     related actions menu of the student profile.
  • Use the
    Add Financial Aid Note
     field to record the student's preference. You can view the note in the
    Student History
     report on the student profile.
  • View the students who haven't opted out by using the
    Opted Out of Financial Aid Electronic Communications
     report field.
  • Update student financial aid electronic communications preferences from the
    Financial Aid
     related actions menu of the student profile.
