View Questionnaire Responses in Approval Steps
To view questionnaire responses in an
Approval
or Approval Chain
step of a
business process, the security groups on the business process step must be on the
security policy of the Questionnaire Results
domain. The security groups on
these business process steps can also be associated with the domain by belonging to
a security segment.To view questionnaire responses in an
Approval Chain
step, each approver in
the chain must be on the security policy of the Questionnaire Results
domain.
Workday enables business process approvers and reviewers to look at the results of questionnaires
that users completed in prior steps of the business process. Each user who completes
a questionnaire has a unique response. Multiple users can't share the same
response.
- From the related actions menu of anApprovalorApproval Chainstep on the business process, select .You can configure supporting information on someActionsteps when there's a questionnaire in a previous step of the business process. Example:Review Employee Hireaction step.
- Select anEffective Date. The default effective date is the current date.
- Enter theTime Zone. The default time zone is the user's current time zone.You can only enter a time zone if you selected theBusiness Process Configuration Time Zoneoption on theEdit Tenant Setup - Systemtask. When you enter:
- The current date, the changes take effect on the day of processing in the specified time zone. Users in other time zones see the changes at 00:00 (midnight) in the specified time zone.
- A future date, the changes take effect at midnight on that date in the specified time zone and at the corresponding date and time in other time zones.
- A past date, the changes take effect at 23:59:59 on that date in the specified time zone and at the corresponding date and time in other time zones.
- UnderInclude Questionnaire Response, select a questionnaire completed in a priorComplete Questionnairestep in the business process.When you copy a business process definition that includes aComplete Questionnairestep, Workday also copies any supporting information configured on the correspondingApprovalandApproval Chainsteps to the new business process definition. However, if a questionnaire is inactive or isn't allowed for that business process, Workday doesn't copy the questionnaire or the supporting information to the new business process definition.
When the business process is assigned to the approver or reviewer, the name of the questionnaire
is displayed in the
Additional Information
section. Click the
number next to Respondents
to view the answers to each
question for each respondent to the questionnaire. You can also export the
questionnaire responses to Excel
or
PDF
formats.
