Steps: Set Up Academic Requirements

You can set up academic requirements that students must meet to complete their educational objectives at your institution. Academic requirements enable you, advisors, and students to create academic plans and track student academic progress toward degree completion.
Setting up academic requirements involves:
  • Creating academic requirements using eligibility rules.
  • Assigning them to an academic unit and level, program of study, or program area.

  1. Access the
    Maintain Academic Progress Processing Policy
    task.
    Set up your institutional processing policy for evaluating students’ requirements and registrations towards program completion. See Set Up Academic Progress Processing Policies.

  2. (Optional) Access the
    Create Smart List
    task.
    Use smart lists when you need to select a large number of courses for
    Course Requirement
    and
    Unit Requirement
    type eligibility rules. See Setup Considerations: Course Smart Lists.

  3. Access the
    Create Student Eligibility Rules
    task.
    Create rules for academic requirements using these types of eligibility rules: Activity, Accomplishment, Course, Grade, Test, Unit, and Combination. See Reference: Eligibility Rules for Academic Requirements and Create Student Eligibility Rules.

  4. Access the
    Create Academic Requirement
    task.
    Create requirements for academic unit and level combinations and programs of study. Optionally, restrict the requirement for academic planning. See Create Academic Requirements.

  5. (Optional) Access the
    Create Restricted Requirement Group
    task.
    Restricted requirement groups enable you to configure exceptions to the sharing or nonsharing policy for academic requirements you selected for your institution when you configured the academic progress processing policy. See Create Restricted Requirement Groups.

  6. Access the
    Configure Academic Requirements
    task.
    Configure the academic requirements you created for academic units and levels or programs of study. Academic units and programs of study under an institution inherit the institutional requirements. You can:
    • Assign new requirements to inherited requirements.
    • Add academic requirement groups. See Concept: Academic Requirement Groups.
    • Configure conditional criteria and assign it to students.
    • Assign a total academic requirement.
    • Configure unit and course limits with or without grade limits.
    • Configure the processing order for programs of study.

  7. (Optional) Access the
    Set Up Academic Progress Display
    task.
    Set up the institutional display policy for the
    Academic Progress
    report. All the fields display by default. See Set Up Academic Progress Display Policy.

  8. (Optional) Access the
    Configure Evaluate Academic Requirements Display Policy
    task.
    If you enable administrators and students to evaluate academic requirements for new programs of study, you have the option to configure how the evaluation tasks display for both types of users. See Set Up Academic Requirements Evaluation Display Policy.

  9. Configure the Academic Requirement Override Event business process and security policy.
    Configure this business process to enable administrators to override both academic requirements and total academic requirements for a student. See Override Academic Requirements and Override Total Academic Requirements for Student.
  10. Configure the
    Academic Progress
    report on the Academics profile group of the student profile.
    You have the ability to configure student profiles on these tasks with Workday-delivered content:
    • Configure Profile Summary
    • Configure Profile
    • Configure Profile Group
    This configuration enables administrators, advisors, and students to view the
    Academic Progress
    report on the student's profile. See Steps: Set Up Profiles and Profile Groups and Steps: Set Up Student Data.
You and your students can track their academic progress based on the status of their academic requirements.
Use these reports to view your configured policies and academic requirements:
  • Academic Unit Policy Viewer
    to view all institutional policies.
  • View Academic Requirements Configurations
    to view all configurations of academic requirements for academic units and levels and programs of study.
