Concept: When Employee and Segment Changes Take Place
When an employee moves to a new segment, their current scores transfer to the new
segment when the next round starts. This transfer during a live round enables the
manager of the new segment to have actionable feedback from the employee without
revealing their identity. The comments of the employee don’t move to the new
segment, unless you backdate the change.
Answer Type | Old Segment | New Segment |
|---|---|---|
Latest scores | The latest individual scores by each employee leave the old segment
when the next survey round launches. | The latest individual scores by each employee transfer from the old
segment to the new segment when a new round launches. |
Historical scores | Historical scores by each employee reside in the old segment. During
each round, the scores get closer to falling outside of the visibility
window. | Historical scores don't transfer to the new segment, unless you
backdate the change. We don’t recommend backdating a single employee, to
protect their identity to the fullest. |
Comments | Comments remain in the segment that the employee was in during the
relevant survey round. | The new segment displays comments from the first round that the
employee contributes to the new segment. |
We recommend updating employee records outside survey rounds, because Peakon
attributes employees to the segments they're in when the round opened.
If you make employee record changes without backdating, they’ll display on survey
dashboards from the next survey round.
Employees That Resign
There’s no need to delete employee records when using Separation date and Separation reason
attributes. When you set an employee's separation date to their employee record,
Peakon marks the employee as a leaver once the separation date is in the past.
Leavers can't sign in, don't receive surveys, and their survey scores disappear from
the dashboard once they are outside the
Inclusion of former
employees
visibility window.Management Changes
When managers leave or change, you need to update their direct employees and attribute them to
their new manager. The segment of the old manager displays in the segment heat map
as long as it contains scores still valid within the
Aggregation
period
visibility window. If you delete the old manager, their
segment disappears. In the survey round following the change, the latest scores of each employee transfer
to the new segment, while the old segment only contains old scores. Comments don’t
move, unless you backdate the data, which affects both scores and comments.
Organizational Changes
Organizational changes work the same as management changes, because you’re updating segments
in the same manner.
Former Employees
If you delete employee, the scores they provided will disappear from the dashboard once they
are outside the
Inclusion of former employees
visibility
window. We don't recommend deleting employees, because you can't make any changes
after deletion.
