Concept: Setting Employees Inactive

This topic is based on the recommendations of Workday on how to manage users in the platform. Refer to your internal policies and processes for managing users in Workday Peakon Employee Voice.
The
Engagement
toggle enables you to set an employee to
Active
and
Inactive
. Setting an employee to
Inactive
excludes them from surveys, which we recommend for employees that are going on a long-term leave. The employee won’t be part of survey rounds, until you set them as
Active
again. The
Engagement
toggle doesn’t affect an employee's ability to sign in to Peakon.
To exclude a specific group of employees from receiving surveys, we recommend excluding the segment from the survey targeting instead.
If the employee has left the organization, we recommend using
Separation Date
attribute instead so that Peakon treats them as a leaver.

Considerations
Historical survey data
Setting an employee to
Inactive
doesn’t remove their answers from the aggregated score if they’ve participated previously. It will also not exclude them from the current round, if they were part of it when the round opened.
The old answers from an
Inactive
employee remain on the dashboard until they’re no longer within the visibility period.
Employee license limit
Active
employees count toward the total number of employed employees in your company. They can still sign in to their personal and manager dashboards.
Survey and reminder emails
As
Inactive
employees aren’t part of active survey rounds, they also don’t receive the survey email or reminder email.
If you set the employee as
Inactive
during a live round, any links they have already received are inactive.
Manager digest, low participation, and upcoming survey emails
Inactive
employees who are managers will receive these emails as normal.
Dashboard sign in access
Inactive
employees who have a personal dashboard or a manager dashboard can sign in as normal.
Participation rate
If you set an employee as
Inactive
during a live round, they remain part of the participation of that round, and aggregated participation rate. The employee isn’t part of the per-round participation for future rounds while they remain
Inactive
.
Shared dashboard recipient list
When sharing the dashboard with your employees,
Inactive
employees don't receive the email. They can still access the link if you send it to them outside of Peakon.
